Overview

The Accounts Payable Clerk will be responsible for recording invoices for services rendered by multiple properties handled by the centralized office in accurate and timely manner; ensuring all invoices have been reviewed, approved and coded in accordance with the uniform system of accounts for lodging industry and HEI Hotels and Resorts Standards.  ($16/hr - $18/hr)

Responsibilities

  • AP: Verify that purchasing procedures are followed, i.e.: purchase order price compared to invoice price, purchase order quantity compared to invoice quantity, ensure that the purchase order number is valid
  • AP: Maintain an accurate, up to date Purchase Order Log
  • AP: Route invoices with purchase order attached to department heads and Executive Committee members for approval. Ensure account coding is accurate and all invoices are being returned on a timely basis
  • AP: Process all approved invoices for payment, ensure all appropriate signatures and back-up attached
  • AP: Pay all hotel invoices in a timely manner ensuring accuracy of amount paid, account coding, invoice extension and that all discounts are taken
  • AP: Handle all vendor inquiries and reconcile vendor statements
  • AP: Maintain open invoices file, paid invoices file and voided check file in an organized and up-to-date manner
  • AP: Interface checks and submit a log of all manual checks to the ADOF/DOF
  • AP: process invoices, check requests, one-time-payments
  • AP: Reconcile open PO report
  • AP: Research & clear exception invoices
  • AP: Research & clear monthly vendor statements
  • AP: Reconcile payables open account status items AP: F&B Checkbook report
  • GC: Count and verify cashier deposits and prepare daily bank deposit
  • GC: Provide change to cashiers as needed
  • GC: Count each house bank on a monthly basis (with witness)
  • GC: Issue house banks to new cashiers per HEI policy
  • GC: Collect and forfeit house banks from any outgoing cashiers
  • GC: Responsible for main vault monies and daily count
  • ALL: Comply with attendance rules and be available to work on a regular basis
  • ALL: Assist with any other Accounting functions as needed
  • ALL: Perform any other job related duties as assigned
  • ALL: Assist with month end inventory physical counts
  • ALL: Assist with General Cashier house bank audits
  • ALL: Assist with maintaining general file storage and rotation
  •  

Qualifications

  • Experience in Hotel or Hospitality related Finance and Accounting preferred.
  • Strong organizational skills with attention to detail.
  • Ability to compile facts and figures.
  • Experience with Microsoft office software is required.
  • Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, public etc.
